4 days ago I was drinking with 2 friends and we started bullshitting and talking about music fests, ideas and names. I started drunk rambling about how we could have a mini Warped Tour type fest at a local skatepark in a warehouse. I started brainstorming suggestions on how to pull it off and that it could be an annual thing.
Well, one of my friends took it too far and yesterday he called the owner of said skatepark who loved the idea so much that he texted me and I called him back and we talked for 20 minutes about how it could be done. Now word has spread online and I'm getting messages on social media from bands I've never heard of, and my friend wants me to meet with the owner of the skatepark next week to discuss the details further.
What went from a stupid joke has evolved into something that I've never done before.
I'm a musician and occasionally work as a stagehand for a medium sized venue so I know how to run a show, but not a full blown festival with 10+ bands at a skatepark that might have food trucks and merch vendors.
I don't know what to do or how to back out of this but now that this rumor has spread like a wildfire online, I'm feeling obligated to go with it so I don't disappoint anyone or any bands.
Hiring a production company is a good idea (Thyhorrorcosmic103) if you can afford it. Otherwise, try to find a lawyer that works on this type of thing and knows the local government and their particular difficulties. And be sure to get good insurance coverage. You may want to file an LLC real quick (it's easy) to protect your personal self from (civil) legal problems.
We haven't gotten that far with our convos and I don't know anything about insurance policies for festivals. This is gonna be strictly DIY and the main thing we're concerned about is getting a PA system and coming up with a decent name -and it's almost impossible because there's so many festivals -Just about every name or phrase we came up is already taken, and trying to find words and/or terms related to both music and skating/bmxing is difficult.
[ - ] Scyber [op] 1 point 2.0 yearsMay 6, 2023 20:58:42 ago (+1/-0)*
There's only one in that list I would use and it's already taken as a fest (Flipside).
I came up with 2 names - One of which would work with both a skating/bmxing term and the multi-genre lineup we want. I can't say it because someone may steal the name, and the other name I came up with is already taken by a band but they go by the plural word of it - Which I'm hesitant to post or use because they could sue for copyright infringement.
How big is the band? If they're not signed to a corporate record label then they likely don't have the ability to do anything about it even if they had any interest in doing so.
I know exactly how you feel. You'll never know all about insurance, that's what the lawyer is for (juden lawyer on juden insurance agent porn? anyway...) the skatepark owner had better get specific insurance for this event, look into being "named" or "also named" on that policy. And if you get a good handle on all of this, it's a great start on a new business opportunity. Once everything is 'in order' and you feel protected, then you can have fun with it.
I want to vote no on both but the Skatepark is in a food desert with the nearest restaurant about 10 blocks away, so we're gonna try to do something to help out.
Is that really true? Maybe it's an American thing, but being an ''all-ages'' event does not prevent selling booze on Festivals here in Europe. It's not like anyone is going to sell beer to little Timmy.
You said the Concert takes place inside a Warehouse? Why not have anyone who wants sell food & drinks do it outside the ''event area'' ? Plausible deniability. ''I'm just responsible for the concert. Why suddenly all these food trucks decided to show up on the other street I just don't know...''
Of course that would also mean - since they are, technically, not part of the festival you can forget about actually making any money off of drinks-sales.
Another thing - though I dread the answer... Do you live in a homogeneous society?
Will you have to consider security, or do you live around normal people? Does the city counsel works with you, or against you? In any small town anyone trying to organize any festival would be greeted with open arms; but since you said you already have many festivals around you... I assume the city counsel would not care about 1 event more or less? :/
And is licensing not the problem of those wanting to sell anything ''on YOUR event'' anyway?
Ehh... skatepark bananza 2023, 1st edition? Music & Crash-Pads?
Why not have anyone, who would design the logos come up with the Festivals name? Might get 2 birds with 1 stone: ''YOU get to decide the events name, and I don't pay you. =)''
If you're on voat, you're already in the top echelon of thinkers. You can do this. I've been to so many festivals, from someone's backyard to +30,000. It's only a matter of scale. The fact that you're worried about it is a good sign. The festivals that don't last are the guys who just go "it's gonna fine, it's whatever". I remember one time where they were still building the main stage decorations the afternoon of Saturday night. Another time the only potable water source for several thousand people was one water truck down in a hollow so it quickly became a mudhole. Plus it sounds like this skatefest wants to organize itself. You're the mastermind, so you oversea and delegate. Sometimes people just need a good leader. \o

Gotta start somewhere. Reaching out for advice is a good first move though. Make some posts a couple other places just to see results. Just ignore like 90% of posts though
Good luck. I have some acquaintances who have run large events annually and the first thing they learned is that they can't do it all. Delegate some of the things you don't know to your asshole friend who got you balls deep, if he's trustworthy.
Chance favors the bull, fake it till you make it. Remember long running festivals are awesome because the promoters and coordinators have years of experience at fucking up, you gotta start at year 1 to get there
For fcks sake use a burner phone and an alias for the inevitable shit goes south when someone either od's against the speakers, breaks their neck in the bowl or some one burns the joint down - have fun but do please post before and afters to watchpeopledie.
Drugs and booze. Stupificants will cover up poor planning and questionable entertainment. Make sure they are plentifully available and that you get a cut of the profits.
This sounds like one of those great problems to have. I don't know if it's china or japan, but one of those languages, the word for problem and the word for opportunity I the same.
This seems like some along those lines. When it all starts to pile up, just focus on taking care of what's in front of you. One step at a time. You'll do great.
This is opportunity knocking down your door. Stay honest about your capabilities but don't downplay what you know how to do. This is your chance to ride a wave to something big. You can do it. This is how you become "THAT GUY" that runs festivals. It's scary, it should be. Face it like a man. You've got this.
check local laws so you don't run into trouble in that regards. Maybe even meet with a sheriff if need be. If you could, pick the brain of other event organizers, of this type and see what they know. I see other posts with a lot more info about that. Consider safety (fire), etc. More information you have, the better you can prepare. That's my 2 cents.
Well, the logistics should be simple. You'll need about 4 road crew's worth of roadies. One to get shit on the stage, one to get shit off the stage, one to unload shit, and one to pack it away. You might get an extra crew to act as an emergency crew in case you need the extra hands.
Outside of that,it's just setting up a stage and sound system.
But yeah, you need to talk to a good lawyer about the legal bullshit. And try to keep the underage groupies out of the backstage area.
Learn to delegate. Pick some aspect of organizing the thing that you're good at and take that on yourself, figure out what other aspects will go into organizing it and find someone to delegate each of those to.
There are two documentaries on Netflix right now about music festivals that turned into disasters. I wouldn’t want to do it. Watch those shows and maybe get an idea of the kind of infrastructure you need and how they can fail, causing chaos. Water and bathrooms seemed to be the third rail.
This isn't gonna be a massive festival -more of a DIY punk thing. Like no more than 500 people. Now that I think about it, we could do an all inclusive thing and cap it at 500 because there won't be much room to fit anymore people especially if half the crowd wants to skate/ride.
Understand your local noise ordinances and get properly permitted for the event, if applicable.
Think about the concerts and festivals you've been to in the past. What would you have improved? If that's not a consideration, WHY did nothing need approving? Why did everything flow so smoothly?
Consider the placement of vendors/booths so as to not concentrate too many people in one area, and ensure restrooms/port-a-potties are plentiful and well maintained.
It'll be a significant investment of capital, but if there's a fee for tickets ($20 online & $25 at the door), you should be able to have a nice payday after security, permits and other fees/payments are taken into account.
Feel free to PM me for additional thoughts on this. I almost attempted something similar to this several years ago, but a few factors held me back and I didn't follow through. I don't necessity regret it, but I sometimes wonder if I could have pulled it off.
